Determine Company Wide Settings

Most users will access this area only one time to set up payroll periods, use or not use auto rounding and auto lunch deductions and Overtime calculation hours. Unless the users are changing the way they determine payroll this is no longer required to access.

Definitions:

  • Pay Period: Three pay periods are available: Daily, Weekly, and BiWeekly. Select the proper pay period. NOTE: if you are located in a state that requires overtime to be calculated daily then you must select “Daily” as the pay period.
  • Inception Date: This is the beginning date of the time clock. The First day of pay period field is derived from the Inception date field.
  • Hours After Which Overtime is Considered: For a Daily pay period enter the number of hours required each day before overtime is allowed. For Weekly and Bi-Weekly pay periods enter the number of hours in 1 week required for overtime to be calculated.

Round Clock-In Time:

  • Place a check mark in this field if you want the system to automatically round clock-in times to the nearest quarter, half or full hour.
  • Select either Round Up, Round Down, or Round Closest.
  • Select to the Nearest: Choose QuarterHour, HalfHour or Hour.
  • If you are NOT going to use any rounding then remove the Check Mark from Round Clock-In Time to deactivate it.
  • If deactivated it will use actual time punched.

Round Clock-Out Time:

  • Place a check mark in this field if you want the system to automatically round clock-out times to the nearest quarter, half or full hour.
  • Select either Round Up, Round Down, or Round Closest.
  • Select to the Nearest: Choose QuarterHour, HalfHour or Hour.
  • If you are NOT going to use any rounding then remove the Check Mark from Round Clock-Out Time to deactivate it.
  • If deactivated it will use actual time punched.

Automatically Adjust for Lunch:  NOTE:  If your employees punch in and out for lunch you will NOT check this box.

  • Add a check mark to this field to activate this function. Leaving unchecked will NOT perform an auto lunch deduction.
  • Number of Hours Before Lunch is Applied: Enter the number of consecutive hours clocked in required before a lunch deduction is made.
  • Reduce Daily Time By Minutes: Enter the number of minutes to deduct after the consecutive clocked in hours is met as entered above.

NOTE:  This setting can be set up to auto reduce time multiple times in one work day.  The Number of Hours Before Lunch is Applied is basically a timer.  If a user sets it for four hours, an employee work day of eight hours will be reduced twice since there are 2 four hour periods.  In order to prevent this from happening set the Number of Hours Before Lunch is Applied setting to something that will only happen once in a standard work day.
