May 22, 2006

ComCept Solutions proudly introduces a NEW Bin Location Maintenance Screen!

This interface allows the user to:

Add new Bin Locations

Remove unused Bin Locations

Assign items to existing or new Bins

Remove items from existing Bins

Clone a Bin Location across multiple store locations

The documentation below describes how each screen functions.

FORMATTER ERROR (Malformed List)
All Bin Name edits, part number assignments to Bins or Removal from Bins, and creation of new bins require a “Refresh Local Data” or a “Get All New Data” in order to view that information within the Local Inventory Screens.  ALL Bins being DELETED/Removed from your system through this interface require a “Get All New Data” in order to remove them from your local data.

Setting up User Rights for use of Bin Location Maintenance:

The following security tags need to be added to the appropriate user groups in your security matrix:

Bin_AddRemoveItem: This permission allows user to assign or remove items from a Bin Location

Bin_Clone: This permission allow the user to copy a Bin Location name to other store locations

Bin_Delete: This permission allows the user to completely remove an unused Bin Location

Bin_New: This permission allows the user to create a new Bin Location

Bin_Save: This permission allows the user to save changes to Bin Locations

Bin_Search: This permission allows the user to enter and filter Bin Locations displayed by filtering parameters

Accessing the Bin Location Maintenance Screen

The following security tags need to be added to the appropriate user groups in your security matrix:

Select “Bins” located either in the left Navigation bar under the company section or under the Company tab across the top of your application.

Once you have accessed Bins there is also a link under the Inventory section on the left navigation bar.

Use of the filters within the Bin Location Maintenance Screen:

When the screen if first accessed it will default to display ALL bins. There are 10 bins listed per page. If you have 6000 different bins you then have 600 pages of bins to look through to locate the one bin or group of bins needing maintenance. Use the filtering options on the page to limit the displayed bins available for editing.

You can filter the displayed bins by one or all of the options listed below:

Bin Range: This is an alpha numeric name range. View all bins between 3-A-1 and 3-B-3

Item Code Range: Also alpha numeric. Display all including attached to item codes between KBC01 and KBC20

Include Attributes: Multi select to only show bins that contain items assigned the selected attributes.

Exclude Attributes: Multi select to hide any bin with items assigned to the selected attributes.

Manufacturer/Product Lines: Only display bins containing items from this Manufacturer and these selected Product Lines.

Product Groups: Only display bins containing items within these selected Product Groups.

“Filter Bin List” button: Select this to perform the search of bins based on the filters you selected.

You can change the display sort order by either the Bin Name or Bin Description: Click the column header above the displayed bins to change the sort.

For each Bin Location listed the following actions can be taken:

The   will remove the bin from your database completely as long as there are no items assigned to that bin. (See Below for Details in “Add/Remove Bin Items” topic).

“Edit”: Clicking this will open up the Edit Bin Location screen where you can Clone the bin to another location, rename the bin, add or modify a bin description, and access the Add/Remove Bin Items for that Bin Location.

  1. of Items column: This displays the number of item codes assigned to this bin location. Clicking that number bypasses the edit bin screen and brings you directly to the Add/Remove Bin Items area.

“Add New Bin” button: Select this button to create a new bin location.

Edit Existing Local Inventory Bin Locations:

When selecting the “Edit” link for an existing Bin Location you can:

Change the “Bin Name”

Add a “Bin Description”. NOTE: this field is not required to be filled in.

The “Assigned Item Count” field indicates how many item codes are assigned to that bin location.

You can Add or Remove items associated to the selected Bin by selecting the “Add/Remove Bin Items link” (See below for Instructions on adding or removing items from a Bin Location.)

You can “Clone” a Bin Location to other store locations by adding a check mark to the Store Location you wish to copy the Bin Location to. NOTE: This creates the new Bin Location only for that store location.  No items are added to the cloned bin.

If changes are made in the “Edit Existing Local Inventory Bin” screen select the “Okay” button to save them. If NO changes were put in place select the “Back to Bins” button to return to the Bin Location selection screen described above.

NOTE: any changes made to this screen require a “Refresh Local Data” to be visible in your “Local Inventory Search and Edit Screens”.

Add/Remove Bin Items:

Items can be added to a Bin Location as well as removed from a Bin:

IMPORTANT: Removing items from a Bin Location requires a GET ALL NEW DATA to remove the item assignments within your applications Local Inventory Search and Edit screens.

Removing a Bin Item: Highlight the item desired to remove from the Bin Location and click the “Remove” button

Adding a Bin Item:

Type the item code in the “Assign Item” field at the bottom of the page.  This utilizes the smart lookup drop down to assist in locating the proper item code.

If the item selected has more then one Unit of Measure you can also select the proper UOM. When the proper item and UOM are displayed you can select the “Assign” button to add that item to the Bin Location.

Note: If the item you selected is currently assigned to another bin location it will be removed from the previous bin and added to the selected bin location.

Select the “Back to Bin Edit” link to return to the Edit Bin Location screen.

Use of the “Add New Bin” button:

This screen functions the same as the Edit Existing Bin Location screen described above with a couple slight changes:

Populate the Bin Name with the desired value.

Add a Bin Description if desired. This field is not required.

Select the Location or Locations you wish to add the bin location to by placing a check mark next to the location.

Select “Okay” to save your new Bin Location.

Select “Back to Bins” to cancel and return to the Bin Selection/Search screen.

To remove an unused Bin Location from your database do the following:

Removing a Bin Location is done via the Bin Location selection screen.

Click on the   to the left of the Bin Location to Remove. Assuming the requirements described below are met the bin location is immediately removed from the screen when clicking on the red x. The following message pop-up appears if the deletion is successful: Deleting an Inventory Requires that you Get All New Data to have it removed from your CDN Applications Local Data Store”

You cannot remove a Bin Location that has items currently assigned to it. If you attempt to do so the following message will appear at the top of the screen: Validation Error: BinDelete: Bin Currently has Assigned Items and Cannot be Deleted. Please Remove all Assigned Items and then Retry.

Note: If you neglect to Get All New Data and go to local inventory to edit an item that was assigned to removed Bin Location you will receive the following error pop-up message: The Bin you are trying to assign this Inventory Item to has been removed from the DataBase.
